Email the right guest.
At the right moment.

You already know who comes often, whose birthday it is and who eats gluten-free. It's all in your bookings. Here you use it to message exactly the right people — without a separate email tool and without exporting your guest list.

Who you reach

Your guests don't know each other. Don't treat them as if they do.

One newsletter for everyone doesn't work. These are the things you can build a group on — all from data you already have.

🔁

How often they came

Someone who's been ten times deserves a different message than a first-timer. Filter on visit count, or on the people you marked as regulars.

🎂

When their birthday is

Select everyone with a birthday this month and send them something a week ahead. Or let it run automatically.

What they thought of you

Filter on the star rating they gave, how many reviews they wrote, or precisely on those who never left one.

📅

How long they've stayed away

Who hasn't been in for ninety days? Or a hundred and eighty? That's exactly the group to give a reason to return.

🥜

Which allergy they have

Got a gluten-free menu or a nut-free high tea? Select only the guests it matters to and tell them.

🍽️

What they ate with you

Lunch, dinner, high tea, drinks — filter on what someone booked before. A high tea regular doesn't need your game menu.

🏆

How many points they hold

Combine it with your loyalty programme: email everyone with enough points for your new reward, or those just short of it.

💶

What they spent

Filter on total spend or party size. Useful when an offer only makes sense for larger tables.

📍

Where they sat

Terrace, function room, bar — whoever sat on your terrace last year is the first to want to know it's open again.

Your guests don't know each other. Don't treat them as if they do.
In practice

Four groups you could build tonight.

Click the conditions, see straight away how many guests fall into it, and send.

1

Regulars who've gone quiet

At least four visits, but the last one was over three months ago. Send them something personal — this is the group you win back most easily.

2

Birthday this month

Everyone with a birthday this month who dined with you in the past year. An invitation with something extra.

3

Happy, but silent

Gave four or five stars and hasn't been in for three months. These people like you, they've just forgotten about you.

4

Ready for a reward

Enough points for your newest reward. Let them know — then they have a reason to book right away.

What you send

Emails that are already there.

Thirty-five examples you only need to adjust: newsletter, offer, event, seasonal menu, thank-you after a visit. With your own logo, colours and photos.

  • Set your logo and house style once, then it looks right everywhere
  • The guest's name, points balance or last visit dropped into the text automatically
  • Preview it on your phone before you send
  • Send a test email to yourself first
Emails that are already there.
By itself

Emails you set up once.

After that they run themselves, at the right moment, without you thinking about it.

1

Seven days before a birthday

An invitation with something small. No need to work through the list every week.

2

After a hundred and eighty days of silence

Anyone who hasn't been in for six months automatically gets a reason to return.

3

Six months after a poor review

A fresh chance, at a moment when the awkwardness has passed.

4

After a cancellation

A friendly note that they're always welcome — no reproach, just a door left open.

Arriving

And then it has to actually be read.

A beautiful email that lands in spam is worth nothing. That's why this side is handled properly.

🇪🇺

Sent from Europe

From Frankfurt, not from America. Better for your guests' privacy and better for the odds your email arrives.

✉️

From your own address

mail.yourrestaurant.com instead of an unknown sender. We handle the technical settings; you add one line at your domain provider.

📊

You see what happened

Who opened it, who clicked, who booked afterwards. Per email and over time.

Unsubscribing really works

Whoever unsubscribes receives nothing further. Not from another list either. The system handles that itself.

What others sell as an expensive extra.

With most booking systems you connect a separate email tool. Then you pay two subscriptions and keep two guest lists that drift apart.

I used to send one newsletter to everyone. Now I email the people who haven't been in for three months, and half of them book within a week.

FAQ

Frequently asked questions

Short answers to what owners ask us most.

Do I have to copy my guest list somewhere?

No. Your guests are already in TableFlow, because they booked with you. You build a group by clicking conditions; the system finds the people.

Can I see who's in a group before I send?

Yes. The moment you click a condition you see how many guests fall into it, and you can open the list to see who they are.

Does this work with my loyalty programme?

Yes. You can filter on points balance and tier. So you can email exactly the guests with enough points for your new reward.

What if a guest unsubscribes?

Then they receive nothing further, not from another list either. That happens automatically; there's nothing for you to track.

Do these emails actually arrive?

We send from Frankfurt and from your own domain, with the right technical settings. That's what puts an email in the inbox instead of in spam.

Does this cost extra?

No. It's part of your plan, whereas a separate email tool usually charges per month and per contact.

Send your next email to the right people.

Everything you know about your guests is already there. You only have to use it.
